Information we receive
If you email or call us, we receive the information you choose to provide, such as your name, business contact details, project requirements and correspondence. Email links open your own email application; this site has no enquiry form, account system or online payment facility.
The website hosting provider may process technical information such as IP addresses, requested pages, timestamps and browser information to deliver the site, keep it secure and diagnose faults. The street self-assessment runs in your browser: its answers are not sent to Smartstreets or saved by the site.
Why we use information
We use enquiry details to reply, discuss projects, prepare quotations and provide services. Our legal bases are legitimate interests in managing business enquiries and relationships, taking steps at your request before a contract or performing a contract where applicable, and meeting legal obligations where required. We use technical information for our legitimate interests in operating and protecting the website.
Council scheme enquiries
Our scheme form collects your name, organisation, email, request type and project details so we can respond with relevant advice or a quotation. Netlify processes submissions when the website is hosted there. Submitting an enquiry does not subscribe you to newsletters.
Newsletters and the bird-count gift.
We collect your name, email, optional bird count and newsletter preference, plus job title, department, delivery address and contact number for gift requests through the sign-up form. We use gift-entry details to check your answer and arrange fulfilment. Newsletter emails use your separate consent, which you can withdraw at any time by unsubscribing or emailing us. Entry does not require newsletter consent. Gift details are used to administer and deliver the offer; supplying a phone number does not constitute consent to telephone marketing.
When hosted on Netlify, form submissions are processed by Netlify on our behalf. Gift administration records are retained only as needed to fulfil the offer and resolve related enquiries; newsletter details are retained while you remain subscribed. Any suppression record needed to respect an unsubscribe is kept separately.
Who may receive it
Information may be processed by providers supporting website hosting, email and business administration, and by professional advisers or authorities where necessary. We share only information needed for the relevant purpose. Third-party websites have their own privacy practices.
Retention and overseas processing
We retain enquiries only as long as needed to handle them and manage any resulting relationship. Contract, accounting and legal records may need to be retained for statutory periods or to resolve claims. Technical logs are subject to the hosting provider’s retention settings. Where service providers process information outside the UK, appropriate safeguards must be used where required by data protection law. You can contact us for details of the providers, retention periods and safeguards relevant to your information.
Your rights
Depending on the circumstances, you can ask to access, correct or erase personal information, restrict its use or receive a portable copy.
